Admission Procedure
AIMS AND OBJECTIVES
1. The aim of Sacred Heart Kindergarten is the all-round formation of students. It helps them understand, appreciate, and live their faith and provides them with a sound education by forming habits of study, discipline, self-reliance, and moral values during their years of study, so that they may become worthy citizens of the country.
2. To provide the best value-oriented education, with emphasis on character formation, self-discipline, and creativity, so that students may become ideal citizens of the country.
3. To develop the physical, intellectual, social, and psychomotor skills of pupils.
4. To help students discover their inherent talents and develop them through creative activities, enabling them to become effective in different areas of life.
5. To help children develop their personalities with sublime ideals, values, principles, and character, and to accept, respect, treat, and serve every human being as a sister or brother, irrespective of caste, creed, colour, or social status.
6. To nurture the values that determine the patterns of behaviour required to live in harmony with other individuals, communities, and nature.
7. With these objectives in view, and guided by Christian principles, the school carefully selects the students who apply and expects them to maintain high standards in ideals and achievements.
CURRICULUM
8. The school provides effective coaching to both boys and girls according to the syllabus prescribed by the Central Board of Secondary Education, New Delhi.
9. The objective of the curriculum is the full development of each student’s individual potential rather than confining him or her to textbooks alone.
10. The medium of instruction is English, and every effort is made to teach students to communicate fluently in English. Students are expected to speak English on the school campus.
ADMISSION
11. The school is open to all boys and girls, irrespective of caste, colour, creed, or social status.
12. Normally, admission is granted to the Pre-KG and LKG classes on the basis of merit. Admission to the UKG class depends on the availability of vacancies and is also based on merit.
13. The signatures of both parents must be affixed to the admission form. Either signature will be considered valid for all transactions while the candidate continues to study at Sacred Heart Kindergarten.
Signing the admission form constitutes an undertaking by the parents that they will abide by the school rules contained in this handbook and any amendments made later. The rules are subject to change at the discretion of the school management.
14. For admission, parents or guardians are requested to submit the following:
a. A photocopy of the original birth certificate along with the admission form.
b. Two passport-size photographs of the child.
c. A photograph of the child with the parents.
15. Registration completed for a particular academic year is not transferable to another year.
16. Registration does not guarantee admission.
17. The school admits students who are four years of age or older.
18. Admissions are made entirely on the basis of merit.
19. The management reserves the right to grant or refuse admission without providing any reason or explanation.
20. If any document submitted at the time of admission is later found to be false, the admission will be cancelled.
21. At all levels of admission, the availability of school transport is independent of admission.
22. The Principal is the final authority in all matters relating to admission. The Principal reserves the right to refuse admission without assigning any reason.
23. A candidate shall be considered admitted only after the payment of all fees required at the time of admission. Subsequent withdrawal or failure to attend school on the specified date will result in the cancellation of admission, and no refund will be provided.
24. Generally, admission is granted only to the LKG class. If the school admits children to the UKG class, admission will be subject to the policies of the management and the conditions relating to age, ability, and conduct. Applicants may be tested and admitted to the class for which they are found suitable.
ATTENDANCE
25. No student shall be absent from class without sufficient reason. Parents or guardians must clearly state the reason for absence in the leave record provided in the school diary.
26. Students are not permitted to leave the school campus during school hours, including recess.
27. Students who remain absent without prior permission shall not enter the class without the Principal’s permission. Unauthorised absence for more than 15 days may result in the student’s name being removed from the school rolls.
28. Students suffering from contagious diseases will not be permitted to attend school. In the case of serious illness, the Principal must be informed within five days, and a medical certificate must be submitted.
DISCIPLINE
Discipline is an integral part of the learning process.
29. The academic year is divided into two terms: April to September and October to March.
30. During summer, the school begins at 8:00 a.m. and ends at 1:40 p.m. During winter, the school begins at 9:00 a.m. and ends at 2:40 p.m.
31. The summer vacation will be from mid-May to early July. The winter break will be from the fourth week of December to early January.
32. Failure to attend school on the first working day after any vacation will be considered a serious breach of discipline.
33. Every student must have a copy of the school diary. The school diary must be brought to school every working day.
34. All students must be present on the school premises at least five minutes before the first morning bell.
At the first warning bell, all students shall gather silently at the specified place for the morning assembly. Prayers must be said with due respect and devotion. After the assembly, students must proceed in an orderly manner to their respective classrooms. The second bell marks the beginning of the session.
35. At the end of the final class, before the students disperse, a thanksgiving prayer shall be said.
36. Students shall remain silent until the teacher enters the classroom. When the teacher enters, the students shall stand, greet the teacher, and remain standing until they are asked to sit. Whenever a teacher enters or leaves the classroom, all students must stand.
37. All students must be in their seats before the teacher enters the classroom.
During the absence of a teacher, the class monitor is responsible for maintaining discipline and must be obeyed.
38. Some Saturdays, although there may be no regular classes, may be used for extra classes, co-curricular activities, parent-teacher meetings, and other programmes.
39. Habitual late-coming or attending school in an improper or incomplete uniform may result in disciplinary action, including being sent home. On such occasions, the school accepts no responsibility for the student’s safe return home.
40. Unauthorised absence from school or extending holidays without permission will not be allowed, except in cases of sudden illness or grave and unforeseen circumstances.
41. Students shall maintain silence and decorum in the classroom. During the absence of a teacher, they shall neither leave the classroom or their seats nor make noise. The class leader shall report any misconduct to the Principal.
42. Running, playing, or shouting inside the school building is not permitted. Students shall maintain silence while passing through the corridors during class hours.
43. No student shall enter a classroom other than his or her own without permission. Students may change their seats in the classroom only with the permission of the class teacher.
44. Discourtesy or disrespect towards any member of the school staff will be viewed seriously. Students responsible for such misconduct may be dismissed from the school.
45. Students must always address their teachers respectfully. Their behaviour, both inside and outside the school, should be appropriate and dignified.
46. Students must speak English in the classroom and on the school campus. English must be used for ordinary conversation.
47. Once a student has entered the school, he or she will not be permitted to leave the campus without the authorisation of the Principal. A written request from the parent or guardian must be submitted for the student to leave the school.
48. No child will be permitted to leave the school during school hours with a stranger or relative without a written request from the parent or guardian.
49. Visitors will not be permitted to meet students during class hours.
50. All students are sincerely encouraged to cultivate the habit of saying morning and evening prayers every day.
51. All students must carry their identity cards with them.
52. Students are advised not to carry excessive amounts of money, expensive watches, ornaments, fountain pens, or other valuable articles. The school authorities will not be responsible for the loss of such articles.
53. Students are responsible for the safe custody of their belongings. As a precaution, they are advised to write or inscribe their names on articles such as tiffin carriers, school bags, pencil boxes, and other personal belongings.
54. The school authorities will not be responsible for the loss of students’ belongings or for any injury or loss of life that may occur accidentally.
55. No books, periodicals, pictures, or newspapers, except those permitted by the school, shall be brought to or circulated within the school without the permission of the Principal.
56. Classrooms, corridors, and the school premises must be kept neat and clean. Waste paper and other waste materials must always be placed in the waste bins provided. Students must ensure that display boards, walls, furniture, blackboards, shelves, and other school property are kept neat and in good condition.
57. Scribbling on walls, damaging school property, or misappropriating the belongings of others will be considered serious offences. In addition to paying for the damage, the student or students concerned may be suspended or dismissed from the school.
58. Receipts issued by the school office for the payment of school fees, bus fees, and other charges must be produced whenever requested.
59. No meeting, party, picnic, or organised school activity shall be arranged without the approval of the Principal.
60. Children who come to school under the care of servants or attendants must not leave the school premises before the servant or attendant arrives. If the servant or attendant is delayed, the child must report to a member of the school staff.
61. Undisciplined behaviour on the school bus will make the student ineligible to use the school transport service.
62. Students using the school transport service must always carry their bus cards.
63. No vehicle will be permitted to enter the school campus during school hours.
64. Children are not permitted to purchase food or other items from vendors outside the school campus.
65. Parents must not bring or send tiffin boxes, books, or other items to their children during school hours.
HOME STUDY AND PARENTAL COOPERATION
66. Parents and guardians are expected to cooperate with the school authorities by ensuring regularity and discipline, helping their children or wards prepare their lessons, and taking an active and constructive interest in school activities.
The efforts made by teachers in the training and formation of students can bear fruit only with the cooperation of parents. Parents are therefore requested to visit the school and meet the teachers on the days scheduled for this purpose. They should keep themselves informed about the attendance, academic progress, and conduct of their children or wards.
67. Parents shall ensure that:

Fees are paid on the scheduled dates.

Children attend school in the prescribed uniform and carry the required books.

Children are given sufficient time at home to complete their lessons and assignments.

The fee column in the school diary is filled in with the receipt number and date.
68. In addition to taking an interest in the academic work of the school, parents must encourage their children to participate in co-curricular and external activities organised for their benefit.
69. Critical remarks about teachers or school authorities should not be made in the presence of children, as this may cause them to lose respect for their teachers and authorities. Parents should discuss such matters directly with the Principal.
70. Any complaint or remark concerning a member of the staff or the functioning of the school must be brought to the notice of the Principal or Manager and not addressed directly to the staff member concerned.
71. Parents are strongly advised not to miss the parent-teacher meetings arranged during the academic year. These meetings provide an opportunity to enquire about the progress of their children in their studies and other aspects of school life.
72. Parents are earnestly requested to sign progress reports and other similar documents whenever requested. Failure to do so may cause serious inconvenience to the child and the teachers. Failure to comply with this rule may result in the student being sent home, in which case the school accepts no responsibility.
73. Students who fail to show remarks or reports to their parents and obtain their countersignatures may be punished or sent home.
74. Parents, guardians, and other persons are not permitted to meet students or teachers at classroom doors during class hours. In emergencies, they must contact the Principal.
75. Private tuition is discouraged. In exceptional or emergency cases, private tuition may be arranged only after consultation with the class teacher, subject teacher, and Principal.
Parents are advised not to engage members of the school staff as private tutors for their children without the written permission of the Principal.
76. Parents and guardians are requested to notify the school office in writing about any change in their postal address or telephone number.
77. The management, Principal, and staff shall not be held responsible for accidents or mishaps that may occur to students either on the school premises or while they are being brought to school or taken home by bus. Children who are ill must not be sent to school.
78. Entrusting a student to the school implies that the parents agree to abide by the rules and regulations of the school and ensure that their child also follows them.
EXAMINATION AND PROMOTION
79. There will be two terminal examinations during the academic year, which begins in April and ends in March. Monthly tests and mid-term examinations will also be conducted.
Promotion to the next higher class will be based on the student’s overall performance rather than on his or her performance in the final examination alone.
Hall tickets bearing random examination numbers will be issued one week before each terminal examination to students who have paid all instalment fees and other dues.
80. Tests and examinations cannot be postponed or advanced to suit individual convenience. No re-examination will be conducted.
81. Absence from or exemption in any subject during an examination will exclude the student from being considered for ranking in the order of merit.
82. Perfect order and discipline must be maintained during examinations and tests. Any malpractice, even if discovered later, will be dealt with seriously.
83. Examination results are final and will not be reconsidered.
CO-CURRICULAR ACTIVITIES
84. The school offers various co-curricular activities aimed at the harmonious development of children. Students are encouraged to participate wholeheartedly in these activities. Grades will be awarded for co-curricular programmes.
RULES REGARDING PAYMENT OF FEES
85. Tuition fees cover twelve calendar months and must be paid in quarterly instalments on or before April 15, July 15, October 15, and January 15.
A fine of ₹500 will be charged for payments made between the 16th and the last day of the respective month.
If a cheque is dishonoured, a fine of ₹500 will be imposed. Thereafter, further payments will be accepted only through a demand draft.
After the last day of the respective month, the bank will not accept the fees, and the defaulter’s name may be removed from the school rolls.
The student may be readmitted at the discretion of the Principal only after all outstanding dues have been cleared and a readmission charge equal to 50% of the admission fee has been paid.
86. Tuition fees and all other fees must be paid by cheque or demand draft drawn in favour of Sacred Heart Kindergarten. Cash will not be accepted at the school office.
If a cheque is not cleared before the next due date, the student will be considered a defaulter and will be charged a late fee.
87. If the outstanding dues exceed two quarterly instalments, the name of the student may be removed from the school register. A readmission fee will be charged if the student wishes to continue.
88. The school reserves the right to increase the fees at any time during the academic year if the Managing Committee considers an increase necessary.
PICNICS AND TOURS
89. Picnics and tours form part of the students’ studies and class activities. Therefore, all students are expected to participate. Such activities encourage friendship, mutual affection, relaxation, knowledge, good relationships, and curiosity.
90. All picnics and tours must be arranged with the prior approval of the Principal. The school authorities, management, and staff shall not be responsible for any accident or mishap occurring during picnics, tours, or excursions.
SCHOOL BUS SERVICES
91. Students are generally expected to use the school buses. Students who avail themselves of the bus service must normally continue using it throughout the academic year.
In exceptional cases, the Principal may grant permission to discontinue the service, provided the parent submits a written application.
92. Any student who causes annoyance to other students in the bus or to pedestrians may be barred from using the bus service, without any claim for a refund of the bus fare. The student may also be subject to further disciplinary action.
93. The school will not provide alternative transport to a student who misses the school bus.
While waiting for the school bus, students must observe good manners and exemplary behaviour. Playing at bus stops is strictly forbidden.
94. At the bus stop, children must enter the bus in an orderly manner. As a safety measure, they must not put their hands or heads outside the bus, even to greet or salute anyone.
95. Children must be courteous, well-mannered, and disciplined while travelling on the bus. All students are expected to speak English on the bus and at the bus stops.
96. The prescribed seating arrangements must be strictly followed.
97. After getting off the bus, children must wait at the bus stop until the bus has moved away. They must be cautious and cross the road only after the bus has left the stop, so that accidents may be avoided.
98. In the event of a complaint, parents must report the matter to the school office and must not approach the bus crew directly.
99. Students who cause damage to the school bus will be required to pay a penalty determined by the Principal on the basis of the report submitted by the bus crew.
100. If the school provides transport, the bus fees will be charged quarterly.
101. The school reserves the right to deny the use of the bus service to any student at any time, change a bus route, or cancel a particular route if necessary.
WITHDRAWAL
102. A written application from the parents is required for the withdrawal of a student from the school. At least one month’s notice must be given in writing. Previous payments will not be adjusted against any outstanding dues.
DISMISSAL
103. Irregular attendance, habitual idleness, disobedience, defiance of authority, malpractice in examinations, lack of sufficient improvement in conduct or studies even after repeated warnings, or conduct that is harmful to the moral standards of the school shall be sufficient grounds for the dismissal of a student.
104. A student who fails more than once in the same class shall be removed from the school rolls. The decision of the Principal shall be final in this matter.
AMENDMENT OF RULES
105. The Principal and the management reserve the right to introduce new rules or amend or change the existing rules and regulations whenever necessary, particularly in cases of urgency and in furtherance of the aims and objectives of the Managing Society and the school.
